UKG Report Basics - Report/Chart Options & Filtering
This article explains the many options that are common among reports. Use your computers search function to find a specific topic.
Navigating Away from Unsaved Report Views
When you have modified but not yet saved a report view, your modifications are preserved when you select report-based buttons or links and navigate back to the report view. Changes such as sorting, grouping, and filtering are preserved.
When you select a page level or row level action in a report, the options set in the unsaved view of the report such as added/removed columns, sorted columns, updated grouping, etc. are preserved. The unsaved view may not be preserved if you navigate away from the report using the main menu, using another tab, or if accessing something other than what is available in the report page, such as employee Quick Links.
Column Resizing
The column widths will dynamically adjust to the screen size and available space. Extra-long links will wrap if they exceed the available space. If the report page contains columns and actions ellipses, the actions will always display.
To manually expand a column, hover over the dividing line between columns until the double arrow displays, and then click and drag the column to the desired width.
Compact View (Rows)
When you review a report with many rows of data, you can use a compact view that will reduce row heights so more rows can fit on the screen. This view is available for responsive reports in both the desktop and the mobile experiences.
The compact view option is located in the View Data menu. You can select the standard view or the compact view from this menu. Standard view is selected by default for each user.
Inline Filtering
Report pages have filtering options known as inline filtering across each column on the page. Each column can be filtered with operators ( = (equal to), != (not equal to), starts with, not starts with, like, not like, in, not in, is null, is not null, between, not between) and then a value placed in the field below the operator. You can set filtering criteria on multiple columns.
In a system default view when there are no set column filters, the inline filter panel will be collapsed. You can use the expand/collapse icon at the top middle of the report to expand the inline filter panel.
The following table includes the various options available to filter reports.
Report Filter Reference Table
Sorting Report Data
When you view a report page, to sort the data use the ellipsis icon and select Sort/Multi-Column Sort. Choose the column and sort order to define the sort. If you need one or more levels of sorting, select Add Sorting Level. The page changes from Sort to Multi-Column Sort. If you don't need a level, use the trash icon to remove it. To reset all sorting options, use the Clear Sorting link. Select Apply to apply the sorting criteria.
Sorting Shortcuts
If you use a Windows desktop computer rather than a mobile device, press and hold either the Shift or Ctrl key and select the sorting arrow for two or more columns to produce either an ascending or descending multi-column sort direction. On an Apple Mac computer, press and hold the ⌘ Command key and select the sorting arrow for the desired sort direction.
When you choose a column to apply filtering criteria, you will find tool tips when hovering over the Sort Ascending and Sort Descending text that tells you how to activate the next level of sorting. You can do this for multiple columns. In the report header, you will see the numbered columns indicating the sorting selections. Hover over the number to see the applied sorting criteria.
You can also sort columns by placing your cursor in the column heading until the double arrows displays. Select the arrows to change or toggle the column in ascending or descending order.
Grouping Report Data
Other options are available to group by the filtering criteria. After you select "Group" in the column filter drop-down menu, the Grouped By column appears. The drop-down menu in this column will show the column used to perform the grouping. Unchecking the column and selecting Apply will ungroup the column.
If employees are included in the Grouped By column, you can select the ellipsis that appears to display links to Employee Information and Employee Quick Links.
Further sorting, filtering, and column settings can be applied to each line in the grouped column by selecting the down-arrow for the field.
Column Settings
Also in the column filter pop-up menu is the Column Settings option, which allow you to set a column width (100-700 pixels), set the alignment of column contents (system default, left, center, or right), and set a custom label.
Adding and Removing Columns
You can add, reorder, or remove columns in reports to see the information that is most relevant to you. You can find the Add/Remove Columns option in the upper right corner of responsive reports. If that option is not available, you can select Add/Remove Columns from the Actions ellipsis menu in a report.
Mark the checkbox for each column you want to add or remove, and then select the appropriate button. To quickly find a column to add, you can enter a few characters in the Search field. Use the arrows to change the order of selected columns in the report.
Freezing Columns
You can "freeze" (i.e., pin) columns in responsive reports, which allows you to scroll laterally in a report while still viewing select columns.
You can freeze/pin up to five columns in a responsive report. When a column is pinned in a report, the column will appear on the left side of the report and be stationary when you scroll laterally in the report.
To pin a column, select the column actions down arrow and choose Pin in the drop-down menu. To unpin a column, select the column actions down arrow and choose Unpin.
You can also pin and unpin columns in the Add/Remove Columns pop-up window. When you open the Add/Remove Columns pop-up window, a pin icon appears in the Current Columns panel. Toggle the pin icon to pin/unpin a column.
Column Feedback - Column Request
If there is a data column you would like to see inside a report, you can send a request. The requests can eventually be applied back into the product for the reports you need.
You will find a feedback option, available in both the Desktop and the Mobile App, in the Add/Remove Columns pop-up window and in the column selection section of Step 1 in the Report Builder. When you select the option, you will see a panel in which you can provide feedback on a missing column needed for a report and general comments.
Fill out the fields as required, including Full Name, Company, and EIN name, and the name of your assigned Role Profile.
Fill in the two fields required to indicate the column you need and what report it should be added to:
Column name
Report name
An additional text area is provided within the dialog so you can add comments on why this column is needed or any other feedback.
Submit or Cancel your feedback.
Drag and Drop Columns
To enhance the flexibility of reports, you can drag and drop columns in responsive reports. You can also drag and drop columns in reports that exist in dashboard widgets and pop-up windows.
You can select one or more columns and drag them into a different position in the report. Frozen/pinned and non-frozen/unpinned columns can be dragged into different positions using the mouse or stylus. Alternately, in the column's settings menu, there is a Reorder Columns section where users can choose "Move Backward" and "Move Forward" to move columns left and right respectively. You can drag non-frozen columns into the frozen area (up to 5 frozen columns) or vice versa: drag a frozen/pinned column out of the frozen area to unfreeze/unpin it.
To select multiple columns at once, users can utilize the standard multi-select functionality of the Ctrl/Shift (Win) and ⌘
(Mac) keys. Column drag and drop actions are also accessible as required by A11y guidelines. If a column cannot be dragged, the Reorder Columns option will not be available.
Actions Menu Column (ellipsis)
Most reports have a dedicated column for actions that can be applied to each row. This Action column is frozen on the right side of reports and in saved views of reports.
You can add or remove this column using the Add/Remove Columns functionality. Reports that do not have the Action column displayed include the following:
Calculated Time by Week (Counters) (My Reports > Time Reports > Calculated Time > Calculated Time By Week (Counters))
Calculated Time by Week (Time Entries) (My Reports > Time Reports > Calculated Time > Calculated Time By Week (Time Entries))
Tax Wage Details (My Reports > Payroll Reports > Taxes >Tax Wage Details >Tax Wage Details)
Earning Deduction Tax Summary (My Reports > Payroll Reports > Pay History > Earning/Deduction/Tax Listing (Summary))
Check Payroll Totals (Payroll > Process Payroll > Check Payroll Totals)
Labor Distribution (Summary) (Payroll > Reports > Labor Distribution > Labor Distribution (Summary))
Employee Summary Column
In responsive reports the Employee Summary column is available, and combines employee information such as their picture, full name, employee ID, and other information, as well as employee Quick Links. This column is available in most reports that include standard employee columns.
You can choose the width of the column, the location of the column (left, center, right), give the column a custom name, select the secondary information displayed in the column, display the secondary information label, and whether the employee picture is displayed or not. Use the down arrow in the column header to open the Column Settings pop-up window, where you can select these various options.
Secondary Information Options
You can add or remove the Employee Summary column using the Add/Remove Columns functionality in the same manner as other report columns. You can also include the Employee Summary column when creating a custom column (basic or advanced); the custom column will return the Full Name in the custom column when the report executes.
Report Exports
When a report contains the Employee Summary column, the column values are included in the report when exported. In the exported report, this column will display both the employees’ full names and the secondary value in a single cell, per row.
Secondary values will be separated by commas or the company-defined separator.
Employee Quick Links
The Employee Summary column includes an Employee Quick Links and Actions icon, which opens a pop-up window with hyperlinks to commonly used pages such as Pay Statement History or Current Timesheet. Actions available can include functions like Request Time Off.
Charts
You can add the Employee Summary column when creating a chart from a report that also includes the Employee Summary column. When you select the Employee Summary column in the Category (y-axis) drop-down field for the chart, the chart will display Full Name points on the y-axis.
Custom Columns
Custom columns can be created and added to the report by selecting Manage Custom Columns from the Add/Remove Columns pop-up window. You can enter the column name and field type, and create expressions using functions, constants, and columns. The Type will determine the type of data for the column. Options are Text, Numeric, Monday, Date, and Time.
On each tab you can select the pieces that you will need to build the final expression. Functions are operations that produce the value shown in the report, using constant values (on the Constants tab) or data fields pulled from the system (on the Columns tab).
Select the item to add it to the Expression box where the final expression can be edited.
For example, to add a column that returns "True" or "False" to indicate if an employee is terminated or not, you would create this expression: Eq(EmplStatusName, "Terminated"). From the Functions tab, you would find and select this function to add it to the expression box. From the Columns tab, you would find the name of the data field that represented the employee status and select it to add the column to the Expression box on the Manage Custom Columns pop-up window. Note that the functions, constants, and columns are added in the order in which they were selected from the tabs. To complete the expression, you will need to edit the text in the Expression box.
After the label and expression are completed, select Apply to add the custom column to the report. The column will appear in the list of columns on the Add/Remove Columns pop-up window. Select Apply to close the Add/Remove Columns window and return to the report.
View Mode
Under the paper icon you have the options of viewing reports as Data Only, Charts Only, or Charts & Data. The icon will change when changing your view and will indicate which type of view is shown.
The Data Only option is the default option and displays reports in a traditional report view.
The Charts & Data option displays both the traditional reports at the top of the screen with the charts below.
Using the Filters Icon
If you would rather not use inline filtering on the columns, the filter funnel icon contains multiple filtering options. Options available for filtering are Global and Column, and in some reports a Custom tab is available, which allows you to create a more complex filter for the table.
The filter funnel icon displays the amount of filtering criteria in use.
Filters contained within these tabs are available or unavailable depending on the report.
Global Filters Tab
Filters available on the Global tab can be used to filter reports based on dates, employees, and various other criteria depending on the report.
Filtering by Date
The time period and date range for a report can be selected from the drop-down lists for Type and Date Range. Select Apply
to update the report according to the dates chosen.
Filtering by Employees
You can select certain employees to be included in a report. From the Employee Filter drop-down list, select Browse. The Browse and Select Employees pop-up window appears, where you can select employees individually, by saved list, by their company group (with appropriate permissions), or by their company profile. Advanced filtering is also available. You also have the option to select service accounts in the filter.
On the Available tab, all the employees to which you have access appear in this list. Check each employee to be included.
After the employees are selected, you can use Apply to make the selections immediate, or if you plan to add/remove or just wish to review your selections, select Add To Selection. The Selected tab shows the number of selected employees. Select the tab to review the employees, groups, and profiles added to the filter. The Clear Selections button will remove all the selections from the page.
Adding Company Groups, Company Profiles to Employee Filter
From the Company Groups or the Company Profiles tab, if you have the appropriate permissions (see the Reports & Charts Security topic for more information), you can select employees by the group or the profile to which they are assigned. If your group list is large, you can use the column filters in the tab to narrow the list.
As with employee selections, you can select Apply to immediately apply the selections, or you can use the Add To Selection button and the group or profile selections will be added to the filter and placed under the Selected tab.
If a group or profile has been added to the filter, you can convert the group or profile to an individual employee list using the List as Employees link. You will be prompted with a confirmation informing you that all groups or profiles in the filter will be expanded and converted to an employee list and that future group or profile additions will not be included in the expansion.
Using an Advanced Filter in the Employee Filter
In some cases, you may want to select employees based on targeted information. Under the Advanced Filter tab, you can define this targeted information. The criteria is based on selected operators and parameters and can be as simple as one selection, or multi-layered conditions. Options are available to add, move, and delete the filter as it's being built. The Clear Filter button will remove everything on the page so you can start over.
When your filter is built, be sure to select Apply.
After the advanced filter is built and applied, it will be summarized. To view or edit the filter, select the edit icon. Or to delete it, select the trash icon.
The advanced filter will be added to the Selected tab, along with any other selections. As with company groups and profiles, the employees included in the advanced filter can be expanded to show those employees.
When all selections are ready, select Apply to update the report page.
Share View Based on Advanced Filter
When you share a report view with other employees and use Advanced Filter criteria to select employees to share the view with, when you apply the filter it will expand to an employee list. A warning message states that the advanced filter will be converted to an employee list, and future changes to the associated employees will not be reflected in the list.
This is not applicable for groups, profiles, or Saved Lists; it is only applicable for the Advanced Filter and the Share View action.
Saved Lists in the Employee Filter
You can select, create, and overwrite Saved Lists in the Employee Filter of reports. The Saved Lists tab allows you to select multiple lists at a time by using the checkbox column. Users with access to one or more reports with the Employee Filter functionality can view a list of members for existing Saved Lists in the Employee Filter.
You can select one or more Saved Lists and choose Add To Selection. You can choose a single Saved List and use the Apply button to apply that list to the report. If a single list selection is applied, it will be reflected in the Employee Filter pill, Global Filter panel, and Share Settings display <Saved List Name > (Counter). The counter represents the number of employees in the list.
On the Selected tab, the List Name and the # Employees (total number of employees included in the Saved List) display. The counter for the Selected <> tab shows the number of employees you have access to according to your permissions.
When you apply an Employee filter based on Saved List(s) and share the report view with other employee(s), they will see records in the report according to their access to employee data based upon their group permissions.
When you select a Saved List you can expand the list to a static employee list by using List As Employees from the Saved Lists section; however, if more than one Saved List is selected as part of the filter, all selected Saved Lists will be expanded into an employee list.
You can remove employees from the selection, add Employees/Groups/Profiles/Advanced Filters/Saved Lists to the selection, and save the updated selection as a new list upon selecting Save List As. You can also overwrite Saved Lists in the Employee Filter of one or more reports by selecting Save in the pop-up window. If there is a mixed selection (Employee (s)/Profiles/Groups/Advanced Filters/Saved Lists), when you select Save, the selection will be converted to a static Saved List.
You cannot edit deleted Saved Lists or Saved Lists you do not own.
If you share a Saved Report View to a Saved List of employees, when the users who have access to the Shared View open the Selected tab of the Employee Selector, they cannot view or edit the Saved List members.
Delete Saved List & Display Saved List (Deleted) on Selected Tab
You can delete a Saved list using the delete column in the Available > Saved Lists tab, allowing you to eliminate obsolete lists. If you shared the view with the list of employees, when you delete the view, employees from the list can still access the shared view.
Column Filters Tab
Column filters restrict the type of data that is returned based on column values. Different types of filters are available for different types of reports. Column filter selections will not be saved after exiting the report or logging off. If you want to save the filter selections, use the Save View As option under the Actions ellipsis. The report view will then be available for later use and can be accessed under My Info > My Reports > My Saved Reports.
The same options available in inline filtering above the columns are available here. Filters can be cleared by selecting the Clear Filters link.
When the filter is applied to the report page, each column appears in a different color shade and will show the filter icon in the column heading. The Columns pill will show how many columns are being filtered. Clicking/opening will show you the filtering in use and allow you to make changes.
Custom Filters Tab
Customized filters can be created and work very similar to the Advanced Filters in the Employee selection filter. You can add column criteria based on condition or operator. Each item has an ellipsis with options to move the entry up or down or delete it. Selecting the Clear Filter link will remove everything from the page so you can start over.
After you select Apply, the custom column will be summarized under the Custom tab. Here, it can be viewed or edited by selecting the edit icon or deleted by using the trash icon. To remove the custom filter, use the on/off toggle for the Custom Filter on the Custom tab.
If a custom filter is in place, the Custom Filter pill appears on the report page and indicates whether the filter is active or inactive. You can use the slider in the pill to turn the custom filter on/off.
Using Smart Date Filters
You can utilize Smart Date column filters to filter report records even if the report does not contain the standard date filtering. Smart date filters rely on the logged-in user's assigned time zone instead of UTC (Coordinated Universal Time). Thus, when users utilize a filter such as ${Today} or ${Yesterday}, it will cross-reference the UTC time to determine the current date to compare with a date-based column’s values.
The smart date variables can be placed into the filter criteria field for one or more columns and can be further controlled using filter operators such as =, >=, <=, between, etc.
Saving Views and Exporting Report Data
When you have applied filters and sorting criteria to get your report just right, and you don't want to lose those options when you log out or move to another area of the application, you can save your report for later use. If you want to use your report in a different format, you can also export it using a variety of export formats.
Save View and Save View As
Under the Actions ellipsis, the Save View and Save View As options are available. When saving a view, you must provide a name and can optionally add a description and tag. You can make the view the default, disable deletion of the view, and share the view with other employees. If sharing the report view, you can select all employees in your company, or you can select specific employees and groups by using the employee selection filter. The number of selected employees appears in the share field.
Save View will save the current report view and this option can be used any time you need to make adjustments to the report view. Be aware that this option will overwrite the previous version of the report view.
Save View As will save the current report view and you must give the report a different name from the original. The Save View pop-up box is also triggered via Manage Views/Edit from the My Saved Reports page.
After the view is saved, you can access your saved views under My Info > My Reports > My Saved Reports. Alternately, in the report itself, if there are saved views, a Saved option appears above the columns. Select the drop-down list to select your desired view. You can select the report default view, any of your saved views, and views shared by others.
Users can prevent overwriting of views with the Deletion and Overwriting Is Not Allowed setting enabled in Save View, Save View As, and Edit.
After you save a report view, you can schedule a report or manage email schedules via the Actions ellipsis. See the "Saved Report Options" on page 54 topic in this user guide for more information.
Chart Behavior When Report Deletion Is Not Allowed
When the Deletion is Not Allowed option is enabled, only the Print option under the panel actions menu is available within the charts panel view to prevent changes or removal of charts tied to a report when shared with other users.
Manage Views
The Manage Views option under the report actions ellipsis enables users to Run, Edit, or Delete an existing view. The Edit
option allows you to change the view settings, such as name or sharing.
Share Reports and Report Views
Users can share reports and report views that they own with other users. A new option, Share link to report, can be found in the Actions ellipsis menu. When you select the Share link to report option, a Share Page pop-up window will appear with a URL link and a QR Code that will take a user to the report page. The share option is also available in dashboard tiles.
Users can copy the URL link using the Copy button. If a user wants to share the report using the QR Code, they can change the default label that appears on the code, as well as copy the code as a PNG image to the clipboard or download the code as a PNG image or an SVG image. They also have the option to print the code.
When you share a saved report view, the link relies on the same share settings found in the Save View dialog, and the pop-up window provides the ability to confirm or make changes to these selections. If the share settings are changed here, they will also be saved for the view as well once you choose the Save and Share option.
Share With Others: Use this option to share a read-only version of the report view. Select the users with whom you wish to share the report view from the Employee Filter and save the report.
Share With All: Use this option if you want to allow all users who can access the report to edit the report view. If you mark the Default checkbox, any schedule settings on the view will be removed.
All Saved Views Visibility
Administrators and other users with applicable permissions can see all saved views that exist for their organization inside of the My Saved Reports tab in the Report Hub. To see all saved views, the user must have the All Company Employees option next to the My Saved Reports permission enabled in their security profile. This will make the Display All Employees' Views toggle in their My Saved Reports tab visible.
When you enable the Display All Employees' Views toggle, you can see all saved views across the company, including personal-only views that are not shared with anyone (including the logged-in user).
Change Ownership of Saved Reports
Administrators and other users with applicable permissions can now change the ownership of a saved view to themselves. When the user's security profile has the Can Change A View's Ownership To Themselves option next to the My Saved Reports permission enabled, they will have the option to add a Change View's Ownership To Me action column in their My Saved Reports report.
The Change View's Ownership option is available only to shared views owned by other users and views set to be company-wide.
On the My Saved Reports page, a Change View's Ownership To Me action is available to users with applicable permissions. Users can select reports for which they are not listed as the owner and use the button to change the reports' owner to themselves. For My Scheduled Reports, future runs of the reports will show the updated owner name. Historical runs of the report will show the previous owner's name.
When the Change View's Ownership to Me functionality is used, existing email/schedule settings for the report are transferred to the new view owner, including the Enable/Disable status settings.
For example, if you take ownership of a view from a terminated user, and there are any email or schedule report settings still set as active for this view, these settings will now continue to send report data to recipients (they were paused when the previous owner was terminated). If the report settings are not active, those settings will remain not active.
